Purpose
This SOP provides a step-by-step guide to the process of uploading and organizing class material after the completion of a live class. This includes uploading the recorded class, audio, and chat transcript to the appropriate platforms.

This SOP is intended for use by anyone responsible for handling class materials after a live class is completed.
Procedure
1. Downloading Class Materials from Zoom
- After finishing a live class, wait for the recording to fully process on Zoom (this typically takes about 10 minutes).
- Open your Zoom account, click on 'Cloud Recordings', then select the most recent recording.
- Download the 'Shared Screen with Gallery View', the audio file, and the chat file.
2. Renaming Files
- Rename each downloaded file for easy identification. For instance, you can use the format 'CC_grub_[filetype]'.
3. Uploading Video to Loom
- Go to Loom and select 'Upload Video'.
- Browse your files to locate and select the video file you just downloaded from Zoom.
- Allow some time for the video to upload to Loom.
- Once uploaded, reformat the video title to make it look pretty and share the Loom video with all spaces.
4. Uploading Files to Notion
- Go to Notion, click on 'Cardio Connection', then go to 'Live Classes'.
- Create a new item in 'Live Events' with the title as the date of the class (for example, 'July 14th').
- Add a random cover for some fun (you can use Unsplash for this).
- Fill out the properties: make sure the date is correct, set the type as 'Completed'. Leave the description and topic blank.
- Create three different headers for 'Video', 'Audio', and 'Chat'.
- Under the 'Video' header, embed the Loom video link.
- Under the 'Audio' header, upload the audio file directly.
- For the chat file, use ChatGPT to reformat the transcription of the Zoom meeting by removing all timestamps, last names, and making the text easier to read. Once done, you can paste this directly into the 'Chat' section on Notion.
5. Final Checks
- Review all uploaded materials to ensure everything looks good. Add some context where necessary for specific things that need more information or translations.
- Once done, the finished page will be at the top of the 'Live Classes' section on Notion.
6. Communicating with Students
- Send out an email to all students with a link to the page on Notion. This will allow students to rewatch the video or listen to the audio if they want to.
